What are we looking for?

We are looking for an excellent individual with first-rate organisational and administrative skills for the position of Executive Assistant to the CEO.

Hartshorn – Hook Enterprises produces West End and touring theatre globally, and (under the brand Immersive Everywhere) is one of the primary producers of immersive entertainment, with shows such as Doctor Who, Peaky Blinders and Peppa Pig.

The company also runs a variety of other operations, mostly in the hospitality sector, such as The Lucky Club and the Farrier, in Camden.

Mostly based in our busy office in Mayfair, the EA to the Directors will responsible for:

● Managing the diaries of the CEO and Chief Creative Officer

● Screening, filtering and prioritising emails on behalf of the Directors

● Responding to emails on behalf of the Directors, within agreed parameters

● Providing advice and information to head office colleagues

● Manage stakeholders like investors and shareholders in productions

● Receive incoming enquiries, processing and supporting these

● Support the day-to-day operations of the company

● Prioritise time and resources for the Directors

● Receive and direct company phone calls and manage the administrative email account

● Liaise with partners and clients

● Maintain administrative systems for the business

● Manage meeting room bookings (both online and on site)

● Attend and minute meetings as required

● Coordinate and manage office business travel

● Complete specialist industry specific tasks and other complex administrative duties

The successful candidate will:

● Have an interest in business administration and/or operations, preferably in a theatre or

entertainment setting

● Have strong communication skills

● Have a keen eye for detail, supported by accuracy and efficiency in the execution of administrative

tasks along with strong numeracy and literacy skills

● Be a capable of working on own initiative and to strict deadline

● Be able to demonstrate discretion and diplomacy

● Be able to manage a large and diverse work-load with the ability to prioritise tasks and projects,

protecting the Directors’ time and ensuring the smooth running of the diary and office

● Enjoy working as part of a dynamic team and fast paced environment

What can you expect from the role?

40hr/week, Monday to Friday. Weekend and evening work may sometimes be required due to the nature of the theatre industry.

Mostly office based

£26,000-£30,000 dependent on prior experience
